I used to use a daily to-do list. I had a daily checklist template that I would follow, every-single-day, for about two years… And that worked pretty good.
But I’ve discovered something much better…
I’ve replaced the daily checklist with a Time Blocking system.
When I used a to-do list, I would often try to overachieve and I’d be left feeling disappointed. But Time Blocking has increased my productivity, clarity and fulfillment. I’ll explain why…
First… What is Time Blocking?
Time blocking is a time management system that segments your day into blocks of time. Each block is dedicated to a particular activity or task.
Here’s what my daily checklist used to look like:

So, why is Time Blocking better?
With a daily to-do list, your only choice is to guess what can get done in a day — You’re not factoring the amount of time that it will take, or the amount of time you’re actually allocating.
Time blocking allows you to better visualize:
- What you’re working on
- When you’re working on it
- How long you’re going to work on it
The additional clarity provides peace of mind, a sense of control, and you’re much more likely to end the day feeling fulfilled because you’ve set realistic expectations.
This doesn't mean it's 100% accurate... Nothing is.
But the probability of setting goals and actually achieving them is significantly greater when you time block.
Time Blocking also allows you to simplify your system…
You will never get rid of your calendar. But with Time Blocking, you can eliminate the daily to-do list — All you have to-do is mark your activities green when complete (you can read more about how I color code my calendar, here.)
Whenever you can eliminate or simplify something, this is a good thing.

- Clarify what has to get done
- Create time blocks for each task
- Color them green as they get completed
