If you’re running a business, there’s one golden rule: delegate or die
(business-wise, of course)
When your time is stretched thin, there’s nothing more powerful than handing off the right tasks to the right person.
For me, that person is often my executive assistant.
I know, I know. You’ve heard it a million times… “Get an EA” - “Get a VA” - “Start outsourcing already!”
And I also know what you’re thinking…
“I know I need help… But I don’t know what to delegate or where to start.”
That’s why I put this together for ya - A list of the 9 responsibilities I delegated early on (and you should probably too):
→ 1. Engage with My Audience (Daily)
Anyone who likes, follows, or comments on my stuff is a potential lead, and it’s crucial to say hello. Once they respond, I take it over.
→ 2. Post Content From the Calendar (Daily)
Consistency is king. My assistant takes my pre-planned content calendar and posts it on all relevant platforms without me lifting a finger.
→ 3. Upload & Schedule My Newsletter (Weekly)
Writing a newsletter is half the battle. My assistant handles the rest, uploading and scheduling it every week so it goes out to my audience without a hitch.
→ 4. Follow Up on Failed Payments (Weekly)
When clients’ payments fail, it creates awkwardness. My assistant handles those delicate conversations, so I can stay focused on what matters—growing the business.
→ 5. Fill Out the Weekly Scorecard Metrics (Weekly)
Tracking progress is essential. My assistant compiles all the key metrics into our weekly scorecard, so I have a snapshot of our performance at a glance.
→ 6. Upload New Contacts to Cold Email Campaigns (Weekly)
Growth doesn’t happen without leads. Every week, my assistant uploads new contacts to our cold email sequences, keeping our sales funnel pumping.
And yes, I do have other funnels going (Twitter outreach, LinkedIn outreach, Facebook ads, etc… but these are mostly automated).
→ 7. Inbox 0 and Summarize (Daily)
The email inbox - everyone’s favorite black hole. My assistant keeps my inbox at zero and sends me a summary of important emails, so I only see what I need to.
I know it seems hard to delegate your inbox, but with the right system, trust me, it’s not.
→ 8. Onboard New Clients (Daily)
Every new client deserves a smooth onboarding experience. Yes - a lot of it is automated. But those few steps that require a human, well, that’s what an EA is for.
She ensures they get everything they need right away.
→ 9. Conduct Follow-Ups (Daily)
Follow-ups are key to closing deals. My assistant follows up on leads, potential collaborations, and anything that’s hanging in the balance.
That way, most of my time is spent interacting with interested prospects.
These tasks were the first things I handed off and it’s allowed me to focus on scaling, creating, and, frankly, enjoying the journey a whole lot more.
The sooner you remove yourself from the process, the better off you and your business will be.
