The 15-min system that saved my biggest client

And when your team is managing a full roster of clients, it’s hard to keep track of what’s actually going on behind the scenes.

You think everything’s fine…

Until one day you get a fiery unexpected Slack message that starts with:

That used to happen to me — until we started running this simple weekly sync system with the team…

It takes 15 minutes, gives me instant clarity, and has probably saved more client relationships than I can count.

Here’s the exact flow.

Weekly Sync Call Checklist:

For each one, my team runs through their list of clients they’re managing:

1. Client Name

Who are we taking about?

2. Traffic Light: Red / Yellow / Green

Are they happy?

How likely are they to churn?

Any sign of smoke?

3. Current Focus: Leads / Sales / Ops

What’s the high-level focus for the client?

4. What we did Last Week

What did we work on?

Did we move the needle?

5. What we’re working on This Week

What’s the current tactical focus?

6. What we’re thinking for Next Week

What’s our plan moving forward?

The rules:

→ Keep it tight — no monologues → If I’ve got no questions → we move on → If I hear a “red” light → we dive in, fast

Why it works:

→ It surfaces red flags before they become angry phone calls

→ It gives me real-time visibility across every client

→ It keeps the team accountable and aligned

→ It forces us to think ahead — not just react

→ It quickly gives me all the context I need

You don’t need a giant project management tool or a 47-tab spreadsheet to stay on top of your clients.

Sometimes a simple 15-min sync is all it takes.

But you definitely need a system.
